Information and Policies

Reservations and deposit
There are 2 easy ways to reserve your spot. Go to Book Your Trip and use either of the following options:

1. Use Pay Pal to provide us your information and to pay your $300 deposit OR

2. Download the reservation form, write a $300 check to Trailbound Trips, and mail both to Trailbound Trips, 111 Woodland Drive, Lake Barrington, IL 60010.

The deposit will be used toward the total trip cost. Reservations are on a first-come basis. We will add a 4% ($48) surcharge for all 2008 trips registered through PayPal.

Payment
Full payment is due 60 days before the trip begins. Mail payment in one or two installments by check, payable and addressed to Trailbound Trips, to 111 Woodland Drive, Lake Barrington, IL 60010.

Earn a 5% discount by paying the cost in full by the specified “early-bird” date.

Confirmation packet
Once you sign up for a trip, we’ll send a confirmation packet detailing everything you need to know, plus some forms for you to return. We’ve included info about itinerary, trails, weather, and the area. We also highlight tips on what to pack, selecting clothes & gear, and getting trail-fit.

Medical and release forms to return
30 days before your trip, we’ll need you to return 4 medical and release forms that are included in your confirmation packet. These forms are also available online for your convenience by clicking below:
• A physician’s release signed by your physician
• Your emergency medical information form
Treatment consent in case of emergency
Release of liability
This information is kept strictly confidential and is read only by your trip leader and a doctor, when necessary.

Trip refunds
Your deposit is non-refundable and non-transferable to other participants. Unfortunately, we also cannot refund your payments for any reason, including personal emergencies, illness, or weather. However, if you cannot attend the trip, we encourage you to find another woman to take your place and assume your payments. (This person would still need to pay a deposit.)

If you suspect an existing health condition could preclude you from safely participating on the hikes, please have your doctor complete the physician’s release before sending the deposit and other payments. Trailbound Trips reserves the right to decline admission on any trips based on individuals' health or fitness.

Cancellation policy
Trailbound Trips reserves the right to cancel trips with fewer than 8 participants. In those cases, we will be happy to transfer your deposit and payments to another open trip or to reimburse your prepaid retreat payments and deposit. However, we cannot assume responsibility for extra expenses you incur, including non-refundable airline tickets, etc., due to these cancellations.

Travel insurance
We strongly urge you to check into travel insurance in case an illness, accident, or other emergency shortens your trip or prevents you from participating.

Itinerary changes
If trail or weather conditions warrant, the leader may adapt the itinerary to ensure the group’s safety and enjoyment.

Physical conditioning
The hikes can be strenuous and full medical help may not be immediately accessible. For those reasons, and for the enjoyment of our hiking group, you must be in good shape, good health and have a signed medical release from your doctor. We recommend a Body Mass Index no higher than 33 and that you train for these trips. Trailbound Trips reserves the right to decline participants based on health concerns.
